Frequently Asked Questions
| What if I have Alcohol at my event? |
|
If you plan on having alcohol at your event, you must follow the Town’s Municipal Alcohol Risk Management Policy and are required to obtain a Special Occasions Permit (SOP) from Alcohol and Gaming Commission of Ontario (AGCO): https://www.agco.ca/en/alcohol/special-occasion-permits
Once approved by AGCO, you are required to provide the Town a copy, and provide the Town a copy of two (2) smart serve IDs for those that will be serving alcohol at your event. Please note, the SOP is only for location, time and date listed on the permit. |
| Can I come in the night before my rental to set up? |
| The start of your rental time is the time that you may enter to set up. Please account for your set up time in your room rental booking. Access to the room before your scheduled time is prohibited.
Please account for set up and take down time in your rental. Adhere to your rental times; your insurance covers your rental period only, and there may be other rentals before or after your time slot. |
| Are facility staff available to help me bring items in from my vehicle? |
| Room rentals are for the room and amenities only. We do not provide facility staff to assist with your set up. We also do not have carts or hand trucks available. |
| I forgot something. Can I get an extra table the day of the rental? |
| The standard room floor plan and number of tables and chairs is requested in advance (at least seven (7) days) to ensure our operations team can be prepared for your rental. We want your rental to be perfect. We cannot guarantee additional items added on last minute but will accommodate where possible. Your rental is considered confirmed after booking. |
| Do you allow open flames in the facilities? |
| No, due to safety concerns, no open flames are permitted in any of our Town facilities. |
| How do I get access to the facility? |
| Access to the facility is on the renter to pick up the key no more than 24 hours before their rental at the Kingsville Arena front desk during operating hours (Monday to Friday 8:30-4:30). Keys are to be returned within 24 hours of your event to the same location. |
| What if I need to hook up my phone to the sound system or computer to the projector? |
| It is the responsibility of the renter to ensure that they have the appropriate cords (for example: Aux, HDMI, dongle, VGA etc.) in order to hook up with electronics to the systems.
The Town does not provide these cords. |
| I have guests that smoke. Is that permitted? |
| All Town of Kingsville facilities are non-smoking, according to the Smoke-Free Ontario Act which is enforced by the Windsor-Essex County Health Unit. |
| Do I need to have insurance for my event? |
| Yes, Liability Insurance is important for your event as it will cover the participants with regard to legal liability for bodily injury to, or damage to property of others (such as spectators, passers-by, property owners and others), resulting from your activity.
Liability insurance is mandatory for all rentals. The Town of Kingsville has implemented a cost-effective program and will offer it to rental users of the Town’s facilities who do not carry their own, or adequate insurance when renting a Town facility. Facility users with their own liability insurance will be required to verify that the Town of Kingsville is named as an additional insured. |
| Can I set up decorations? |
| Yes. Please use easy-to-remove tape like painter’s tape. All other adhesives (stick tack, duct tape, tuck tape, scotch tape) or pins are not permitted.
Hanging decorations from the ceiling or windows is not permitted. The use of confetti and/or glitter is strictly prohibited. All decorations must be set up and taken down in your specified rental time. |
